2. Who this Privacy Notice applies to
This Privacy Notice applies to personal information we process about:
- candidates and prospective candidates;
- individuals who register with us or apply for vacancies;
- individuals we identify as potentially suitable for employment opportunities;
- clients, prospective clients and their representatives;
- referees and other individuals connected with our recruitment activities;
- visitors to our website; and
- individuals who otherwise communicate or interact with NorthBridge Talent.
3. Personal information we collect
The information we collect depends on your relationship with us and the recruitment services we provide.
Candidates and prospective candidates
We may collect and process:
- your name, address, location and contact details;
- your CV and information contained within it;
- employment history and current employment;
- education, qualifications, professional memberships, skills and experience;
- current and previous job titles;
- salary information and salary expectations;
- notice period and availability;
- job preferences and preferred locations;
- LinkedIn profile and other relevant professional information;
- interview notes and information you provide during conversations with us;
- communications between you and NorthBridge Talent;
- references and information provided by referees;
- identity and right-to-work information where required;
- visa or immigration information where relevant;
- information required to assess your suitability for particular roles; and
- information relating to applications, interviews, offers and placements.
Where necessary and lawful for a particular role, we may also process special category personal information or information relating to criminal convictions. This may include information concerning health or reasonable adjustments, diversity information or DBS information.
We will only process this information where permitted by law and where the appropriate additional conditions and safeguards apply.
Clients and prospective clients
We may collect and process:
- your name and job title;
- work email address and telephone number;
- company name and website;
- information about your organisation;
- details of vacancies and recruitment requirements;
- communications with us;
- information relating to candidates you interview or engage; and
- records relating to our business relationship with you.
Website visitors
When you use our website, we may automatically collect limited technical information such as your IP address, browser or device information and information about how you interact with our website.

4. Where we obtain your information
We may obtain personal information directly from you when you:
- register with NorthBridge Talent;
- submit or upload your CV;
- apply for a vacancy;
- complete one of our forms;
- contact us by telephone, email, our website or another communication channel;
- communicate with one of our recruitment consultants; or
- provide information during the recruitment process.
As part of our recruitment activities, we may also obtain or identify information from other sources, including:
- recruitment and CV databases;
- online job boards;
- LinkedIn and other professional networking platforms;
- publicly available professional information;
- referrals and recommendations;
- clients and prospective clients;
- referees and former employers; and
- other third parties involved in recruitment or employment processes.
Where we obtain your personal information from another source, we will provide you with appropriate privacy information in accordance with applicable data protection law.
5. How we use your information
We may process personal information to:
- provide our recruitment and consultancy services;
- identify suitable candidates and employment opportunities;
- assess a candidate's suitability for vacancies;
- contact candidates about potentially relevant opportunities;
- introduce and represent candidates to prospective employers;
- manage applications, interviews, offers and placements;
- verify identity, qualifications, experience and right-to-work information where appropriate;
- obtain or provide references where appropriate;
- communicate with clients and understand their recruitment requirements;
- identify prospective clients and business opportunities;
- manage our relationships with candidates, clients, suppliers and other business contacts;
- maintain accurate recruitment and business records;
- respond to enquiries, complaints or requests;
- establish, exercise or defend legal claims;
- comply with legal, regulatory and contractual requirements;
- maintain and improve our recruitment services, systems and website; and
- protect the security and integrity of our business, systems and information.
We do not sell your personal information.
We will not send your CV or an identifiable candidate profile to a prospective employer without first discussing the relevant opportunity with you and obtaining your agreement for us to represent you for that opportunity.
6. Our lawful bases for processing
Under UK data protection law, we must have a lawful basis for processing personal information.
Depending on the circumstances, we may rely on:
Legitimate interests– where processing is necessary for our legitimate interests in operating a recruitment consultancy, identifying and assessing candidates, identifying prospective clients, filling vacancies, communicating with candidates and clients and managing our business, provided those interests are not overridden by your rights and interests.
Contract– where processing is necessary to take steps at your request before entering into a contract or to perform a contract with you.
Legal obligation– where processing is necessary for us to comply with a legal or regulatory obligation.
Consent– where we ask you to consent to a particular use of your information. Where we rely on consent, you may withdraw your consent at any time.
Where we process special category personal information or criminal offence information, we will only do so where permitted by law and where an appropriate additional condition for processing applies.
7. If you do not provide information
You are not generally required to provide personal information to NorthBridge Talent.
However, certain information is necessary for us to provide recruitment services, assess your suitability for vacancies or meet legal and regulatory requirements.
If you choose not to provide information that is necessary for these purposes, we may be unable to represent you, progress an application, complete required checks or otherwise provide some or all of our recruitment services.
8. Who we share personal information with
Where appropriate and lawful, we may share personal information with:
- prospective or actual employers and clients;
- organisations involved in arranging or managing a placement;
- referees and former employers;
- service providers supporting our recruitment and business operations;
- recruitment software, CRM, IT, cloud storage and communications providers;
- website hosting and technical service providers;
- screening, verification or background-check providers where relevant;
- professional advisers, including accountants, insurers and legal advisers;
- government departments and regulatory authorities; and
- courts, law enforcement agencies or other authorities where required or permitted by law.
Where an organisation processes personal information on our behalf, we require appropriate data protection and confidentiality arrangements to be in place.
We only disclose personal information where there is an appropriate and lawful reason to do so.
9. International transfers
Some organisations and technology providers we use may store or process personal information outside the United Kingdom.
Where this results in a restricted international transfer under UK data protection law, we will ensure that an appropriate transfer mechanism or safeguard is in place as required by law. This may include UK adequacy regulations or approved contractual safeguards.

10. How long we keep your information
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet applicable legal, regulatory, contractual and legitimate business requirements.
As a general policy, candidate records will normally be reviewed after two years from our last meaningful contact with you and deleted or anonymised where there is no longer a lawful or legitimate reason for us to retain them.
Certain information may be retained for longer where necessary to:
- comply with legal, regulatory or tax obligations;
- fulfil contractual requirements;
- maintain appropriate business and placement records; or
- establish, exercise or defend legal claims.
We periodically review the information we hold and securely delete or anonymise information that is no longer required.
You may ask us to delete your personal information at any time. The right to erasure is subject to certain legal conditions and exceptions.
11. How we protect your information
We take appropriate technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure, loss or misuse.
These measures include, where appropriate:
- access-controlled systems;
- individual user accounts and authentication;
- restricting access to authorised individuals according to business need;
- secure cloud-based systems and storage;
- encryption of information in transit where supported; and
- appropriate security and confidentiality requirements for service providers.
No electronic system or method of transmission can be guaranteed to be completely secure, but we take reasonable and appropriate measures to protect the information entrusted to us.
12. Automated decision-making
NorthBridge Talent does not currently make decisions about candidates that produce legal or similarly significant effects based solely on automated processing.
Recruitment technology may be used to search, organise, filter or identify potentially relevant candidates or vacancies. However, recruitment decisions involve human involvement and judgement.
13. Your data protection rights
Depending on the circumstances, UK data protection law gives you rights which may include the right to:
- request access to the personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to erase your personal information in certain circumstances;
- ask us to restrict the processing of your information in certain circumstances;
- object to processing based on legitimate interests in certain circumstances;
- object to the use of your personal information for direct marketing;
- request the transfer of certain information to you or another organisation where the right to data portability applies;
- withdraw consent at any time where our processing is based on consent; and
- raise a complaint about how your personal information has been handled.
Your right to object: Where we process your personal information on the basis of our legitimate interests, you have the right to object to that processing in certain circumstances. You also have the right to object at any time to the use of your personal information for direct marketing.
These rights are subject to the conditions and exemptions contained in applicable data protection law.

We will respond to valid requests within the timescales required by applicable data protection law. You will not normally be required to pay a fee for exercising your rights.
